AI Automation Hyde

AI automation links the software you already use and lets it handle repetitive admin, such as copying order details, sorting emails or drafting routine documents, with a person approving anything that matters. We set it up for Hyde manufacturers, trade suppliers, care providers and shops.

The admin that holds Hyde firms back

In a manufacturing or trade supply business, the same order is often typed three times: from an email into the order system, then into the accounts package, then onto a dispatch sheet. Each retyping is a chance for a wrong part number or a missed delivery address. Automation reads the order once, checks it against your product list and posts it where it needs to go.

Care providers carry a heavy paperwork load of their own, from rotas and training records to supplier invoices. Retailers and food businesses trading around Hyde Market juggle stock counts, supplier orders and web orders that arrive while the shop is busy.

The approach mirrors our AI automation work for Manchester businesses: start with one process that costs real time, show it working, then move to the next.

Mapping your processes from our M8 office and on site

Understanding a process means watching how it runs today, so we usually begin with a screen-share call where you click through each step while we take notes. Building and testing then happen remotely, with progress tracked in a shared document and questions settled by phone or WhatsApp. Some workflows make more sense seen on the shop floor, and we are happy to visit you by arrangement. From our Cheetham Hill office the trip takes roughly 25 to 30 minutes on the M60 and M67, traffic allowing, and you can always come to us instead.

Steps to a working automation

1

Map one process

We record each step, every system it touches and who signs it off, so we know where the hours actually go.

2

Choose the tools

Depending on your software we use Make, Zapier, n8n or direct API connections, and bring in a language model only where text has to be read or written.

3

Build on test data

Nothing touches live records until it has run against copies of real emails, invoices or orders.

4

Add human approval

Anything involving money, customer records or care information pauses for a named person to approve before it posts.

5

Switch on and watch

We turn it on, check the run history closely in the first weeks and send you a short note on what ran and what failed.

What you end up with

  • A written map of the process as it was and as it now runs
  • The automation set up in accounts your business owns
  • Approval steps for anything that changes money or records
  • Failure alerts by email or WhatsApp when a step stops
  • A plain-English guide to pausing or adjusting the workflow
  • A follow-up call once the first month of use is complete

Processes we would look at first in a Hyde business

  • Order intake for trade suppliers. Reading emailed purchase orders and PDF attachments, matching lines to stock codes and creating draft orders for a person to confirm.
  • Supplier invoices. Pulling the supplier, date, total and VAT from each invoice and sending it to Xero or QuickBooks as a draft bill.
  • Enquiry follow-up for care providers. Logging each family enquiry, sending a polite acknowledgement and reminding the manager if nobody has called back.
  • Reorder alerts for shops. Comparing till or Shopify sales with stock levels and flagging items to reorder before a market day.
  • Weekly reporting. Gathering sales, orders and enquiries into one summary email instead of three spreadsheets.

Paperwork-heavy tasks fit our AI document processing service, and if you are unsure where to begin, an AI readiness audit ranks your processes first.

Frequently asked questions

Do you need to see our Hyde factory or office to map a process?

Not always. Office processes such as invoicing are easy to follow over screen share. Where paperwork moves between the yard, the shop floor and the office, a visit by arrangement shows us things a call misses, like the clipboard nobody mentions. You can also bring the team to our office.

Can a Hyde care provider automate admin without risking sensitive information?

Yes, with care. We keep personal and health details out of AI tools wherever the task allows, store data in the UK or EU where possible and add approval steps. We follow published ICO guidance, but you should take advice on your own data protection obligations.

What happens when the automation gets something wrong?

Every workflow logs each run. When a step fails or the AI is unsure, for example an order line it cannot match, the item goes to a person rather than through. Alerts tell you straight away, and we go through failures with you to tighten the rules.

Will we have to replace our current software?

Usually not. Most accounting, CRM, ecommerce and email tools offer an API or connect through Make or Zapier. If an older system has no way in, we look at email or spreadsheet exports first and only suggest a change of software when nothing else is workable.
