This policy explains what personal data Web Print & Signs collects, why, how long we keep it and the rights you have. It covers this website, quotes, orders, enquiries and the services we provide.
Who we are
Web Print & Signs is the trading name of WEB PRINT & SIGNS LIMITED, a company registered in England and Wales (company number 16585795). Registered office: Unit 3, 116 Bury New Road, Manchester, M8 8EB.

What we collect
- Contact and order details: name, company name, email address, phone number, billing and delivery address, and the details of what you order or ask us to quote for.
- Artwork and files you send us: logos, designs, photos and text you upload or email for printing, signage, vehicle graphics, websites or other work.
- Payment information: card payments are taken by Stripe. Your card number goes straight to Stripe and never reaches our website or our staff. We receive a payment reference, the card type and the last four digits.
- Messages: what you write in our contact and quote forms, emails, WhatsApp messages and phone calls (we note what was agreed, we do not record calls).
- Account details: if you create an account, your login email and order history.
- Website use: technical data such as IP address, browser and device type, and, only if you accept analytics or marketing cookies, how you use the site and which advert or website brought you here. See our Cookie Policy.
Why we use it and our lawful basis
- To quote for, make and deliver your order or service (contract): including contacting you about your artwork, delivery or collection.
- To take payment and keep accounts (contract and legal obligation): we must keep financial records for HMRC.
- To answer enquiries and quote requests (legitimate interests, or steps before a contract at your request).
- To keep the website and payments secure and stop spam and fraud (legitimate interests): for example spam checks on forms and Stripe’s fraud checks.
- To understand how the site is used and measure our adverts (consent): only if you accept analytics or marketing cookies.
- To send you news or offers by email (consent, or for existing customers our legitimate interest in telling you about similar products, with an unsubscribe link in every email). You can opt out at any time.
Who we share it with
We never sell your personal data. We share only what each party needs to do its job for us:
- Print, production and delivery partners, including trade printers and couriers, who receive the job details and the delivery name, address and phone number.
- Stripe (card payments and fraud prevention).
- Google (Google Analytics and Google Ads, only with your consent; reCAPTCHA spam protection on forms).
- Hosting and email providers who host this website and our mailboxes (Hostinger), and spam filtering for forms (Akismet).
- Mailchimp, if you sign up to our email list.
- WhatsApp (Meta), if you choose to message us on WhatsApp.
- Professional advisers such as our accountant, and authorities where the law requires it.
Some of these providers process data outside the UK (for example in the USA). Where they do, the transfer is protected by the UK International Data Transfer Agreement or Addendum, the UK-US data bridge or another safeguard recognised under UK GDPR.
How long we keep it
- Orders, invoices and payment records: 6 years after the end of the financial year they relate to (HMRC rules).
- Artwork and print files: kept so you can reorder, and deleted on request. Files for quotes that do not go ahead are deleted within 12 months.
- Enquiries and quote requests that do not lead to an order: up to 2 years.
- Website accounts: until you ask us to close the account, subject to the order records above.
- Analytics data: Google Analytics keeps event data for 14 months.
Your rights
Under UK data protection law you can ask us to: give you a copy of your data; correct it; delete it; restrict or object to how we use it; and send it to you or another organisation in a portable format. Where we rely on consent, you can withdraw it at any time (for cookies, use “Cookie settings” at the bottom of any page). We reply within one month.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, 0303 123 1113.
Security
The site runs over HTTPS, card data is handled only by Stripe, and access to order and customer data is limited to the people who need it to do the work.
Children
Our products and services are for adults and businesses. We do not knowingly collect data from children under 13.
