Paperwork that finishes when the job does

In most trade firms the work happens on site and the admin happens at night. Job sheets come back crumpled, photos sit in personal camera rolls, and invoices go out late.

A field service app moves the job sheet onto the engineer’s phone. The office plans jobs on a scheduling board, and the engineer sees the address, notes and access details, takes before and after photos, completes checklists and certificate fields, and gets the customer to sign on screen. The record reaches the office at once and becomes a draft invoice in Xero or QuickBooks.

Basements, plant rooms and new builds often have no signal, so the engineer app works offline and syncs when the phone reconnects. Parts used come off the van’s stock, which ties in with the inventory apps we build for stores and warehouses.

Engineer location and staff privacy

Location helps with routing: the office can see who is nearest to an emergency callout, and customers can get an on-the-way message. It is also personal data under UK GDPR, so we build it for routing, not for watching how staff spend every minute.

  • Location is shared only during working hours or while a job is active, never off shift.
  • Staff are told in plain terms what is collected and why before they install the app.
  • Location history is kept only as long as you need it, then deleted automatically.
  • Only the people who dispatch work can view it.

Frequently asked questions

Does the app work without phone signal?

Yes. Jobs for the day download to the phone in advance, and engineers can fill in sheets, take photos and capture signatures with no connection. Everything uploads automatically when signal returns, and the office sees which jobs are still waiting to sync.

Can completed jobs go straight into Xero or QuickBooks?

Yes. A signed-off job creates a draft invoice in your accounts software with the customer, labour and parts filled in. Your office checks and sends it, so nothing goes to a customer without a person looking at it first.

Can we keep our own certificate and checklist layouts?

Yes. We rebuild your existing forms as screens and produce PDFs that follow your layout, logo and wording. If your trade body or scheme specifies particular content, send us the requirements and we match the fields to them.

Do customers need to download anything?

No. Customers sign on the engineer’s phone and receive their job report, certificate and invoice by email. If you want them to book or track jobs themselves, we can add a customer portal or app later as a separate piece of work.

Can subcontractors use the app too?

Yes. Subcontractors get their own logins and see only the jobs assigned to them. You can hide details such as job values, and remove a login as soon as a contract ends.
