What a booking app has to get right

Most booking problems are rules problems: clearing-up time after an appointment, a staff member who works Tuesdays only, a room that holds one client. A booking app turns those rules into availability, so customers only see slots that work.

We set availability per service and per staff member, buffers between appointments, minimum notice and how far ahead people can book. Staff calendars sync both ways with Google Calendar or Outlook, so a school run in someone’s personal diary blocks that hour in the app.

Deposits are taken by card through a provider such as Stripe, which our payment gateway integration team connects, and reminders go by push notification, SMS and email. A website booking widget reads the same data, so a slot taken in the app disappears online at once.

Businesses that sell their time by the slot

Salons, clinics and tutors have their own pages, such as salon apps, because their rules differ. Good fits include:

  • Consultants, accountants and solicitors who want clients to pick a meeting slot without email back and forth.
  • Mobile dog groomers and car valeters, who need travel time between bookings.
  • Photographers and studios hiring out a room by the hour, with deposits to hold dates.
  • Garages and repair shops booking drop-off slots against workshop capacity.
  • Firms with several sites around Greater Manchester needing one shared diary.

How we build your booking app

1

Map your booking rules

We write out every service, duration, buffer, staff pattern and cancellation term with you. That becomes the specification we test against.

2

Design the booking flow

We design customer screens and admin views, and you click through a prototype before any code is written.

3

Build on one backend

The iOS and Android app, web dashboard and website widget share one backend, so every screen reads the same availability.

4

Connect calendars and payments

We link staff calendars, the card provider and the SMS and email services, then test each with real accounts.

5

Trial and launch

Your staff book, move and cancel test appointments, we fix what trips them up, then we publish to both app stores.

What you get at the end

  • Customer app for iPhone and Android with service, staff and time selection.
  • Web admin dashboard for bookings, customers and blocked-out time.
  • Two-way Google Calendar and Outlook sync per staff member.
  • Deposits and late cancellation handling through your card provider.
  • Website booking widget sharing live availability.
  • Source code and store accounts in your name.

Booking rules we can configure

The settings we are asked for most often:

  • Buffers: fixed gaps before or after a service for cleaning, notes or travel.
  • Notice and horizon: the shortest notice you accept and how many weeks ahead the diary opens.
  • Resources: a room, chair or machine that must be free as well as the person.
  • Cancellation windows: free cancellation up to a cut-off, deposit kept after it, with the terms shown at checkout.

A rule that is hard to explain to customers is usually hard to build, so we push for simple terms. For rotas and shift cover, see our staff scheduling apps.

Frequently asked questions

Can customers book on our website as well as in the app?

Yes. The app and a website widget read one shared backend, so availability matches everywhere. A slot booked online vanishes in the app straight away, and the reverse. The widget can sit on your existing site or a new one.

Will it sync with the Google or Outlook calendars my staff already use?

Yes. Each staff member connects their own Google or Microsoft account. App bookings appear in their calendar and busy time there blocks the app. We test this carefully, since duplicate events are the first thing staff notice.

How do deposits and cancellation fees work?

The customer pays a deposit by card at booking through a provider such as Stripe, and your cancellation policy decides whether it is refunded. Because you sell a real-world service, the app stores allow ordinary card payments rather than their in-app purchase systems.

Will reminders stop customers missing appointments?

Nobody can make every customer turn up. Reminders give people an easy moment to cancel or rebook, freeing the slot for someone else, and the dashboard reports no-shows so you can see whether changes to timing help.

Can we start with a simpler first version?

Yes. A first release might cover booking, reminders and the dashboard, adding deposits or the widget once you see how customers use it. Our MVP app development page explains how we scope that.
