Keeping the app private and under control

A staff app should not appear in public search results on the stores. Apple Business Manager supports custom apps, which are distributed privately to your organisation. On Android, Managed Google Play lets you publish an app privately to your company’s managed devices. Either route keeps the app out of public view.

Device management ties this together. With a mobile device management tool, IT can push the app to company phones, configure it and remove it when someone leaves. Single sign-on through Microsoft 365 or Google Workspace means disabling a person’s work account also cuts off their access to the app.

Inside the app, role-based access controls what each person sees. A sales rep might see only their own customers, while a manager sees the whole team. The backend enforces those rules, not just the screens.

Frequently asked questions

Does a staff app have to go through public app review?

Private distribution still uses Apple’s and Google’s systems, but the app is not listed publicly. Apple custom apps go through Apple Business Manager and Android apps through Managed Google Play. We set up the right route for your devices and explain what your IT contact needs to do.

Can staff use their own phones?

Yes, with some planning. On personal phones, device management is usually lighter, so we rely more on single sign-on and in-app permissions to protect company data. We discuss what your policy allows and set the app up to match.

Will it work without a signal?

It can. For visits in basements or rural sites, we build offline storage so staff can complete forms and take photos, then the app syncs once a connection returns. We agree which screens need offline support during scoping.

Can it connect to the software we already use?

Usually. Most modern CRM, accounting and HR tools offer an API. We check yours early, because the integration often shapes the rest of the build. Where no API exists, a scheduled export and import can bridge the gap.

Would a web app be enough instead?

Sometimes. If staff are always online and do not need the camera much, a browser-based tool can do the job. A native app makes more sense for offline work, photos and push alerts. Our progressive web app page covers the middle ground.
