Running a busy timetable without the front desk chasing spaces

The difficult part of a booking app is not the calendar, it is the rules. Every class has a capacity. When it fills, members join a waitlist, and when someone cancels, the first person waiting is promoted automatically and notified. Cancelling inside the cut-off loses the credit, and repeated no-shows can trigger a short booking pause.

Membership types decide who can book what: open-access plans, class packs that count down, off-peak plans restricted to quieter hours. At the door, members scan a QR code in the app or the instructor ticks them off. Where your access control hardware offers an integration, the app can open the door too.

Booking rules to settle before launch

Members argue about rules more than features, so decide these first:

  • When booking opens, for example seven days ahead at a set time, and whether some members get earlier access.
  • The cancellation cut-off and whether a late cancel loses a credit or counts as a strike.
  • What happens when someone is promoted off the waitlist inside the cut-off and may not see the notification.
  • How many no-shows trigger a pause, and which staff can lift it.

Each rule is a setting in the admin, not hard-coded, so you can change it without an app update. Rules shown clearly at the point of booking also matter for your terms; we follow published guidance, and you should take legal advice on them. Clubs with renewals and member cards may also want our membership app features.

Frequently asked questions

Will the app work with our current gym management software?

If your software offers an API or integration for third parties, usually yes. We check its documentation first and tell you exactly what can sync, such as members, classes and bookings, and what cannot.

Can members choose a specific bike or spot?

Yes. We draw each room as a layout of numbered spots, and members tap the one they want when booking. Instructors can block a spot when equipment is out of action.

What happens when someone on the waitlist gets a place?

They are booked in automatically and get a push notification, plus an email if they choose. Inside the cancellation window you can switch to offer-and-accept instead, so nobody is charged a strike for a class they did not know they were in.

Can the app open our doors?

Only where your access control system provides an integration we can connect to. Some systems support this and some do not. We check the make and model early, and if it cannot be linked, QR check-in at reception still works.

Can we run several sites from one app?

Yes. Members choose a home site, see every timetable they are allowed to book, and staff permissions are set per location. Reports can be viewed for one site or the whole group.
