Running the whole event through one app

A printed programme is out of date the moment a speaker drops out. An event app keeps the agenda live: attendees build a personal schedule by starring the sessions they want, and when a talk moves room, a notification reaches everyone who saved it. Speaker and exhibitor profiles, venue maps and session details sit beside the schedule.

Tickets live in the app too. Each ticket carries a unique QR code, and attendees can add it to Apple Wallet or Google Wallet so it opens without signal at the gate. Your staff use a separate scanning app that holds the guest list on the device, checks each code once and syncs entry counts when it reconnects.

Ticket transfer rules are set by you: allow free transfers by name, allow them up to a cut-off, or block them entirely to deter touts. Every transfer is logged, and the old QR code stops working once a ticket changes hands.

Frequently asked questions

What happens at the door if the internet goes down?

The scanning app downloads the guest list before doors open and validates tickets on the device. Each code is accepted once. When the connection returns, scanners sync with the dashboard, so entry counts stay accurate across every gate.

Can the app work with our existing ticketing platform?

Usually. Many ticketing platforms provide an API or a guest list export that the app can use for tickets and scanning. If yours does not, we can sell tickets inside the app or a linked web checkout instead.

How far ahead of the event should we start?

Allow time for design, build, testing and app store review before tickets go on sale. We agree a fixed timeline at the start. A browser version can cover attendees if review takes longer than planned.

Can we reuse the app for next year’s event?

Yes. The app and admin panel stay yours. For the next edition you load new sessions, speakers and tickets, and past attendees who kept the app can be notified when sales open, provided they agreed to marketing.

Can attendees transfer tickets to a friend?

If you allow it. Transfers can be open, restricted to a cut-off date or switched off. The new holder receives a fresh QR code in their name and the original code is cancelled automatically.
