Rules the app can check for you
The Working Time Regulations set rules on rest breaks and rest between shifts. We build those rules into the rota builder as checks, so a manager sees a warning when a planned shift would break them. The checks support managers rather than replace HR advice; take legal advice on how the regulations apply to your staff.
Clock in and out is where privacy matters most. Location can confirm someone is at a client site, but it should only be collected where there is a clear reason, only at the moment of clocking in, and only after staff have been told what is recorded and why. Many teams manage with a site QR code, made with a tool like our QR code generator, or a simple tap.

Frequently asked questions
Can staff swap shifts without a manager?
You choose. Swaps can go straight through when both people hold the right role, or wait for a manager’s approval. Most teams start with approval switched on, then relax it once they trust the checks.
Do you have to track staff location?
No. Location is optional and only used where it is justified, such as confirming arrival at a client site, and staff must be told about it. Plenty of rota apps use a simple tap, a site QR code or a manager confirmation instead.
Which payroll systems can it export to?
Most payroll software accepts a CSV import, and some offer an API for direct connection. We match the export to the columns your payroll provider expects, including pay codes for overtime or night rates, and test it against a real period before go-live.
Can agency or bank staff use the app too?
Yes. We can give temporary or bank workers restricted access so they see and accept open shifts without seeing the rest of the team’s details. Their hours can be exported separately for agency invoicing.
How do staff get the app?
