AI Automation Denton

In most Denton firms there is one job where the same figures get typed out more than once, and everybody has stopped noticing. We find it, work out whether automating it pays, and only then build. Often the honest answer is that it does not, and we say so.

Where the time actually goes

Manufacturers and trade suppliers near junction 24 tend to run on email and spreadsheets. An order arrives as a message or an attachment, someone keys it into a sheet, someone else keys it into accounts, and a delivery note gets typed a third time. Nothing is broken. It just costs a day a week and every rekeying is a chance to move a decimal point.

Trades have the same problem in a different place: job sheets written in a van and typed up at a desk, where the two versions sometimes disagree and the customer is the one who finds out. Care providers carry the heaviest version, with rotas, visit records and referrals all needing to reach the same place without anything being dropped.

Which job you pick matters more than which tool you buy. That is how we scope AI automation in Manchester, and how we would approach yours.

How we look at it

By watching. Ten minutes of somebody sharing their screen while they do the task tells us more than a written description, because what decides this is the exceptions, and nobody writes those down.

Where paper is involved, seeing the office is genuinely useful, and Denton is twenty to twenty five minutes away on the A57 or the M60. After that, building and testing run against copies and a test mailbox, never your live orders.

The steps

1

Observe the job

The real task with the messy examples, not the version people describe when asked.

2

Say whether it pays

Too varied, too rare or too quick and it will not repay the build. You hear that before a quote, not after.

3

Build against copies

Sample data and a test inbox, so real orders are never at risk while it is being worked out.

4

Keep both running

The old way continues alongside for a while and you compare. The forgotten cases always surface here.

5

Hand over in writing

What it does, what it refuses, who to ring when it stops. Plain words rather than a diagram.

What you keep

  • One job running end to end with nobody retyping anything
  • Written rules for what it handles and what it hands over
  • A log of every item processed, so anything odd can be traced back
  • The test setup retained, so later changes can be tried safely
  • A handover note anybody in the office can follow
  • A frank list of what we deliberately left alone

Choosing the first job

High volume, low judgement. Lifting the details off an incoming order and putting them where they belong is usually the strongest candidate for a supplier, because it happens constantly and nobody wants to do it. For a trades firm it is more often getting the job sheet off the van and into the system once rather than twice.

Bad candidates stand out quickly: anything needing a real decision, anything happening a few times a year, anything whose rules change monthly. We would rather rule those out than build something that gets quietly dropped. Where the obstacle is paperwork arriving as scans and photographs, document processing is the narrower tool, and if you want the whole operation looked at before committing, start with an AI readiness audit.

Frequently asked questions

Will we have to replace our accounts system?

Almost certainly not. This work normally sits between the systems you already run and carries information across them. Where something genuinely cannot be connected, you hear that at the start because it changes what is worth attempting.

What happens with an order it cannot understand?

It stops and gives that one to a person with the original attached. Ten sensible handovers a week beat a single confident mistake on a quantity, and the handovers show us what to teach it next.

Our orders arrive in a dozen different formats. Problem?

It is the normal situation rather than an obstacle, though it does affect how much is worth automating. We look at a real sample across a few weeks and tell you what proportion can be handled reliably and what will always need a person.

How is our customer data handled?

We work on copies and sample data wherever we can, and agree in writing what is held and where before anything starts. We follow published guidance on personal data, and you should take your own advice on what applies to your business.
