AI Automation Whitefield

Somewhere in most Whitefield offices there is a job where the same details get typed out two or three times, into an email, a spreadsheet and then the accounts. We take that copying out. Where the sums do not justify it, we say so before you have spent anything.

The half hour that happens every morning

It is rarely one big problem. It is twenty minutes after opening, every day, moving yesterday into today: a booking written on a pad being entered properly, an order from an email going onto a list, a supplier invoice waiting for someone to key it in. Nobody counts it, and across a year it adds up to weeks.

Practices and professional offices get a version of this with appointments arriving by phone, by form and through a booking system, all needing to end up on one view before anyone can plan. Trades and suppliers get it with job sheets and delivery notes, where the same figures are written once in a van and once at a desk, and the two sometimes disagree.

What matters is picking the right job, not the right software. That is how we scope AI automation in Manchester, and how we would look at yours.

Working it out together

The first step is watching somebody do the task. A shared screen for ten minutes beats any written description, because the exceptions are what decide whether this holds up, and nobody remembers to write the exceptions down.

Whitefield is a quarter of an hour up the A56, so we can come and watch it happen in your office if that is easier, which for anything involving paper usually is. Building and testing then run against copies, never against your live orders.

How the work goes

1

Watch, do not ask

We see the real thing with real awkward examples, rather than the tidy version people describe.

2

Give a straight answer

Some jobs are too varied, too rare or too quick to be worth automating. You hear that first, not after a quote.

3

Build on duplicates

Sample data and a test mailbox. Nothing touches real bookings or invoices while it is being worked out.

4

Run the two in parallel

The old method continues for a while and you compare the results. That is where the forgotten cases appear.

5

Write it down and leave

What it does, what it will not do, and who to ring if it stops. Plain English, not a flowchart.

What you keep

  • A single job running from arrival to destination without a person retyping
  • Written rules on what it handles and what it refuses
  • A record of every item it touched, so anything odd can be traced
  • The test setup retained, so future changes can be tried safely
  • A handover anybody in the office can follow
  • A frank list of what we decided to leave alone

Picking the right job first

The best first candidate is high volume and low judgement. Lifting the details out of an incoming booking or order and putting them where they belong usually qualifies, because it happens constantly and nobody enjoys it. Second best is gathering everything needed for a quote so that whoever prices it is looking at one screen instead of four.

Poor candidates are easy to spot once you look: anything requiring a real decision, anything that happens a handful of times a year, and anything whose rules change every few weeks. We would rather rule those out than build something that gets quietly abandoned. If the obstacle is paperwork arriving as scans and attachments, document processing is the narrower tool, and where you want the whole operation surveyed first there is an AI readiness audit.

Frequently asked questions

Do we have to change the software we already use?

Usually not. The work normally sits between existing systems and carries information across, rather than replacing either end. Where something genuinely will not connect, you hear that at the start because it changes what is sensible.

What does it do with something unusual?

Stops, and hands that one item to a person with the original attached. Ten sensible handovers a week beat one confident mistake, and the handovers also show us what is worth teaching it next.

We are a small office. Is this only for bigger firms?

Repetition matters far more than headcount. Two people repeating the same twenty minutes every morning is a stronger case than a larger business whose admin is all different. We look at the task, not the size of the company.

Where does our data actually go?

We work on copies and sample data wherever possible and agree in writing what is stored and where before anything begins. We follow published guidance on handling personal information, and you should take your own advice on what applies to you.
