AI Chatbot Development Whitefield

Most enquiries from a Whitefield high street arrive when the shop or practice is shut. We build assistants that answer those from your own information, in your own words, and hand the conversation to a person the moment it stops being a simple question.

What gets asked after you lock up

Delis, cafes and independent retailers on Bury New Road get the same short list every evening: what time do you open, do you do that, can you hold one back. None of it is difficult and all of it needs answering, which is the problem, because the person who could answer went home at five.

Health and professional practices face a narrower set with more weight attached. What does a first appointment involve, do you deal with this, how soon could I be seen. Those questions decide whether somebody books with you or carries on down the list, and a message sitting unread until nine the next morning rarely survives.

The thing that makes an assistant worth running is that it works from your material and admits the limits of it. That principle sits behind our AI chatbot development in Manchester and behind every one we build for Whitefield.

Getting one running

Nothing needs writing from scratch. Your hours, prices, treatments or menu and the replies you already send are the source, and we start by collecting those rather than asking you to fill in a questionnaire.

Building and testing are remote, and you try it privately before a customer ever sees it. Our office is on the same road a quarter of an hour south, so coming over to go through the transcripts in person is simple once it has been running a few weeks.

Building it

1

Read the real messages

We go through what people have actually asked you, not what we imagine they ask. The first version handles that list well.

2

Assemble the source

Opening times, prices, what you do and explicitly what you do not. Everything it says comes from here and nowhere else.

3

Draw the line

Complaints, existing bookings and anything it is unsure about stop immediately and go to a person, carrying the conversation with them.

4

Attack it

You and your staff spend an hour trying to make it say something wrong. Whatever it gets away with, we tighten.

5

Open it up and watch

Once live we read the transcripts with you, which usually reveals questions you did not know you were getting.

What you are running afterwards

  • An assistant that only knows what you have told it
  • A written line between what it answers and what it passes on
  • Every enquiry in your inbox with the full exchange attached
  • Transcripts you can read, which are worth more than the replies
  • Somewhere simple to change the answers when your hours or prices move
  • An agreed list of subjects it will not touch

Where it pays, and where we would talk you out of it

It pays wherever a settled factual question arrives repeatedly outside working hours. For a shop that is hours, stock and whether you can put something aside. For a practice it is what an appointment involves and how to get one. Answering those at nine at night is the entire value, and it compounds because every answered question is one you are not retyping tomorrow.

We would talk you out of it where enquiries are few and each one is complicated, because a person replying properly in the morning beats an assistant fumbling it at midnight. We would also keep it away from complaints and anything about an existing order. If the actual bottleneck is sorting and routing enquiries rather than answering them, something from our wider AI work fits better, and an internal knowledge assistant suits a team that keeps asking each other the same things.

Frequently asked questions

What stops it telling someone the wrong price?

It has no source other than what you supply, and it is set to say it does not know and offer a person rather than fill a gap. Part of the testing is deliberately asking about things the source does not cover, to confirm it refuses.

Does somebody have to sit and watch it?

No. It answers what it can and everything else waits in your inbox with the conversation attached, exactly as an email would. Nobody needs to be awake for it to be useful.

Our prices change. Who keeps it current?

You do, and we set it up so that is editing a page rather than raising a request with us. Whoever updates your website can update what the assistant knows, and we are here if something bigger is needed.

Will it pretend to be one of our staff?

No. It says what it is at the start of the conversation. Disguising it irritates people and makes the handover to a real person awkward when it comes, so we do not build them that way.
